How to Manage an Airbnb Remotely (Living Many Miles Away)

Managing an Airbnb property from another city, state, or even country can feel intimidating at first, but with the right systems and people in place, it’s entirely possible to run a profitable short-term rental without living anywhere near it. I manage my Airbnb from hundreds of miles away—too far for a quick drive—and have built a system that works even when I can’t be there in person.

Whether your property is a short road trip away or on the other side of the globe, here’s how to host remotely without hiring a costly full-time property manager.

Build a Reliable Ground Crew

Your ground crew is your lifeline when managing a property remotely. These are the people who will handle everything from cleaning to repairs when you can’t be there.

Cleaners

A stellar cleaner who specializes in short-term rentals (STRs) is essential. They know the difference between simply cleaning and preparing a space for guests. Many cleaners will also do extra tasks for an hourly rate, such as restocking supplies or checking for maintenance issues. I use the Turno App to manage my cleaners. They can view the next check-in and checkout, report any problems, update supplies, and take pictures after each clean using the app.

Handyman

A trusted handyman who can take care of most small to mid-sized issues saves time and money. Agree on a minimum visit fee so they’ll prioritize even small jobs.

Specialized contractors:

Build relationships with local plumbers, electricians, HVAC technicians, and other tradespeople. Having them on call ensures you can address urgent issues quickly.

Neighbors or local helpers

A friendly neighbor or a nearby contact can be a huge help for quick check-ins, package pickups, or emergencies. Compensate them fairly for their time. One of my neighbors pulls my garbage to the curb every Sunday for Monday morning pickups. I pay him well, and this is a huge help.

Use Smart Technology

Technology is the remote host’s best friend. A few smart investments can save you countless headaches.

  • Keyless entry systems: A remote-access lock allows you to change codes for each guest and grant entry to service providers without being on site.
  • Doorbell cameras: These offer peace of mind by letting you see who’s coming and going. You can confirm guest arrivals, verify if contractors are present, and identify any unusual activity.
  • Amazon Prime, Walmart+, or similar delivery service should be your best friend: If a coffee maker, hair dryer, or other guest essentials break, you can send a replacement directly to the property same day, or within a day or two.

Keep Communication Lines Open

A simple phone call can often resolve many problems. I’ve handled new appliance orders, emergency repairs, and scheduling—all without being there—because I have reliable people who answer when I call. Communication is just as important as skills.

Visit Periodically—But Strategically

Even though you may never need to rush out for every problem, it’s still a good idea to visit the property occasionally.

  • Unannounced visits: These provide a realistic view of how the property appears when you’re not present.
  • Restocking and deep checks: Use your visits to replenish consumables, check for wear and tear, and review your team’s performance.

Treat Your Team Well

Your team will prioritize your property if they feel valued. Leave positive reviews for their businesses, send thank-you gifts, and pay fairly for their time. A happy team means fewer delays and better guest experiences.

Be Prepared for Imperfections

Even the most reliable helpers can get sick or have family emergencies. Build backup options into your plan so a single point of failure doesn’t disrupt your guests’ stay.

Distance Doesn’t Have to Be the Enemy

It’s not always easy managing from afar, but the distance doesn’t have to be your worst enemy. You can use it to your advantage and look on the bright side.

When you live close to your Airbnb, it’s tempting to jump in and handle issues yourself—sometimes at the expense of your time and sanity. Being far away forces you to delegate, trust your team, and focus on the big picture rather than daily micromanagement.

That said, if you are managing a short-term rental from afar, invest the time up front to build a dependable network. Once you do, you can manage your Airbnb with less stress, fewer trips, and better profit margins—whether you’re a few hours away or halfway across the world.
